Privacy Policy
Dental Marketers (“Dental Marketers”, “we”, “us”, or “our”) is a dental marketing agency based at 11b Peel House Lane, Widnes, WA8 6TN, United Kingdom, providing SEO, paid advertising, content, and growth services to dental practices. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit dentalmarketers.co.uk, enquire about our services, or interact with campaigns, forms, and content that we manage on behalf of our dental practice clients.
Some of the information that passes through our systems relates to enquiries from patients of the practices we work with. We handle that information with appropriate care and ask everyone we work with to do the same. By using our website or services, you agree to the practices described in this Policy.
1. Who We Are
Dental Marketers is the data controller for information collected through our own website and marketing activities, and acts as a data processor for enquiry data we handle on behalf of our dental practice clients (see Section 3). You can contact us using the details in Section 14, or write to us at:
- 11b Peel House Lane, Widnes, WA8 6TN, United Kingdom
2. Scope of This Policy
This Policy applies to information collected through:
- dentalmarketers.co.uk and any subdomains or landing pages we operate;
- Enquiry forms, call-tracking numbers, chatbots, and booking widgets embedded on our own site or on our clients’ websites that we manage;
- Our social media pages, paid advertising campaigns, and email communications;
- Direct interactions with our team, including consultations, proposals, and account management.
It does not cover the internal patient records, dental software, or clinical systems operated directly by our practice clients — those are governed by each practice’s own privacy policy and by their obligations as a healthcare provider.
3. Information We Collect
3.1 Information You Provide Directly
- Name, email address, phone number, and practice or company name;
- Business details when you enquire about our marketing services (location, goals, budget);
- Correspondence you send us, including messages, call recordings (where disclosed), and meeting notes.
3.2 Information Collected on Behalf of Our Clients
When we manage lead-generation forms, booking widgets, or ad campaigns for a dental practice, we may process information submitted by that practice’s patients or prospective patients, including:
- Contact and appointment details (name, phone, email, preferred appointment time);
- The treatment or service a person is enquiring about (e.g. Invisalign, implants, a check-up);
- Where voluntarily provided, brief context about the enquiry. We do not request full medical or dental histories, and we ask clients not to route clinical records through our systems.
In these cases we act as a data processor on behalf of the practice, which remains the data controller responsible for that individual’s information. We handle it strictly under contract with the practice and solely to deliver the enquiry to them.
3.3 Information Collected Automatically
- IP address, browser type, device information, and general location;
- Pages visited, referral source, time on site, and click behaviour, via cookies and analytics tags (e.g. Google Analytics, Google Ads, Meta Pixel);
- Aggregated campaign performance data used to report on marketing results.
See Section 6 for details on cookies and how to control them.
4. How We Use Information
We use the information described above to:
- Respond to enquiries and provide our marketing consultation and services;
- Pass patient or prospective-patient enquiries to the relevant dental practice, on their instructions;
- Plan, run, and measure the performance of SEO, paid media, content, and social campaigns;
- Improve our website, services, and reporting;
- Send service updates, invoices, and — where you have opted in — marketing newsletters and insights;
- Meet legal, regulatory, tax, and contractual obligations.
We do not use enquiry data collected on behalf of a client for our own marketing purposes, and we do not build independent profiles of patients across clients.
5. Legal Basis for Processing
Under the UK General Data Protection Regulation and the Data Protection Act 2018, we rely on one or more of the following legal bases: your consent; performance of a contract with you or the practice you are enquiring with; our legitimate interests in operating and improving our services; and compliance with our legal obligations. Where consent is our basis for processing, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.
6. Cookies and Tracking Technologies
Our website uses cookies and similar technologies to remember preferences, understand how visitors use the site, and measure advertising performance. These generally fall into three categories:
- Essential cookies — required for the website to function correctly;
- Analytics cookies — help us understand visitor behaviour (e.g. Google Analytics);
- Advertising cookies — used to measure and optimise campaigns (e.g. Google Ads, Meta Pixel, LinkedIn Insight Tag).
You can manage cookies through our cookie consent banner or your browser settings. Disabling certain cookies may affect site functionality.
7. How We Share Information
We do not sell, rent, or trade your personal information. We share it only in the following circumstances:
- With the dental practice for whom an enquiry was generated, so they can follow up with the patient or prospect;
- With trusted service providers who support our operations — website hosting, analytics platforms, advertising networks, email and CRM tools, and payment processors — under confidentiality and data-processing agreements;
- Where required by law, court order, or a competent regulatory or government authority, including the Information Commissioner’s Office (ICO);
- To protect the rights, property, or safety of Dental Marketers, our clients, or the public;
- With your explicit consent, for any other purpose.
We never display information you share with us for promotional or testimonial purposes without your prior written consent.
8. International Data Transfers
Some of the service providers we use (such as analytics or advertising platforms) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as the UK’s International Data Transfer Agreement or adequacy regulations, so that your information continues to receive a comparable standard of protection.
9. Data Retention
We retain personal information only for as long as necessary to fulfil the purposes described in this Policy, meet our contractual obligations to clients, and comply with legal, accounting, or reporting requirements. Enquiry data processed on behalf of a client is retained according to that client’s instructions and deleted or anonymised once it is no longer needed for the agreed purpose.
10. Data Security
We apply industry-standard technical and organisational measures — including access controls, encrypted connections, and restricted staff access on a need-to-know basis — to protect information against unauthorised access, alteration, disclosure, or destruction. No online transmission or storage system can be guaranteed completely secure, and we encourage you to take precautions when sharing information online.
11. Your Rights
Under UK data protection law, you may have the right to:
- Request access to the personal information we hold about you;
- Request correction of inaccurate or incomplete information;
- Request erasure of your information, where legally permissible;
- Object to or restrict certain processing, including direct marketing;
- Withdraw consent at any time where processing is based on consent;
- Request a copy of your information in a portable format, where applicable;
- Lodge a complaint with the Information Commissioner’s Office (ico.org.uk) if you believe we have not handled your information properly.
To exercise any of these rights, contact us using the details in Section 14. If your query relates to a specific dental practice or clinical record, we may direct you to that practice as the data controller.
12. Children’s Privacy
Our services are directed at businesses and adults. We do not knowingly collect personal information from children under 16. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The “Last updated” date at the top of this page indicates when it was last revised. Continued use of our website or services after changes are posted constitutes acceptance of the revised Policy. We encourage you to review this page periodically.
